The Office Executive is responsible for the smooth running of the church office on a day-to-day basis.
Roles & Responsibilities
Implement and maintain procedures/office & church administrative systems
Organize team meetings and managing databases
Book transport, food, rooms, etc
Assist in the organizing of church events or conferences
Order stationery, furniture and ensuring appropriate stock levels
Deal with office suppliers, staff and clients
Liaison between church and the school
Prepare & produce letters, presentations & reports (Local Conference Reports)
Manage office budgets
Organize induction and onboard new staff
Organize team meeting and take minutes
Support for weekly church bulletin
Support for weekly church services such as offering bags and Holy Communion elements
Coordinate & plan church calendar and staff time-off
Manage and upkeep church membership databases and records to date
Provide administrative support for bereavement and pastoral care
Provide administrative support to pastors and ministry staff where necessary
Assist the PPRSC, where appropriate
Safe Management Officer (SMO)
Responsible for all safety and health procedures and policies for the church office
Manage the SafeEntry system
Manage the ticket booking system for worship services
Database Management - ensure that all records can be accessed digitally and is kept up to date on the cloud
Receive training in Professional Conversion Programme (PCP) for Data Protection Officers and assume role of Data Protection Officer (DPO) for Chapel
Job Requirements
Office management & administration experience
Exceptional interpersonal and communication skills
Excellent computer skills, including a high degree of proficiency in Microsoft Office suite and comfortable with learning new technology
Experienced with scheduling, budgeting and planning
